Enterprise Resource Planning (ERP) towards Paperless Campus

Objectives of the Practice

  • Easy accessibility of accurate, relevant and affordable data
  • Improve the internal workings of the institution by reducing time, financial costs and efforts
  • Standardize, automate, reduce complexity of various processes
  • Integrate work flows and processes to enable effective resource utilization across the various fields aiming for sustainable solution
  • Create paperless administration
  • Encourage students participation in e-governance

The Context

ERP system encourages open communication, information exchange, and integration for increased productivity and efficiencies. Rapid technological advancement has made it possible for information to be exchanged quickly, effectively, and transparently. More academic and administrative procedures are engaged in ERP from student admission to degree completion. The computerization and management of processes like registration, admission, student information, classes, timetables, e-content, transportation, attendance, libraries and expenses, exams, performance, results, hostels, and reports are just a few of the requirements that educational institutions must adhere to. These requirements are carried out with the help of ERP system. E-governance in our college applied for academics and administration since 2010. Data generation, storage, and retrieval are more time-consuming and less accurate when done manually. To rectify these problems E- Governance is the only possible method

E-Governance in Admission

The ERP is having the admission module in which all the admission related processes are stored and retrieved. On line application reduces the paperwork and enhances the clarity and accuracy

E-based Teaching and Learning

The way education is currently delivered relies on e-learning technology, which gives lecturers access to ICT-based teaching aids. The online approaches allow for more efficient instruction and provide a number of benefits over conventional teaching techniques. Technology-based environments like LCD projectors, video courses, and video conferencing have made this possible. Discussions in the classroom are supported by smart lectures, virtual lectures, e-libraries, and an e-learning environment. Google Classroom is also blended online learning platform

Webinars

provide a flexible, convenient, and efficient learning environment. It is the interactive online delivery of seminars, presentations, or other similar content utilising video technology, allowing two-way conversation between the organizer and the other participants

Online Classes

when the offline classes abruptly stopped owing to the pandemic because of our preparedness with G suite institutional mail Id, the staff and students of our college were ready to adapt the online classes without any hindrance

Resource Management System

The goal is to streamline the approval and processing of leave applications. The effective use of the system is promoted among stakeholders through an awareness drive and campaign. Bio metric facility is also available to monitor the entry and exit of the staff members

E-Services

In all levels, e-governance is introduced. Institute has a well-designed ERP called CampusStack, through which the information about the students, faculty are stored in the ERP software and reused whenever required. E-governance in our institution allows use of technologies with the aim of improving education, training and information to encourage student participation in the decision making process, making administration transparent and effective

E-Library

Bar coding reader facility is also available to monitor the entry and exit of the user in Library. Library networking is connected with college LAN and Wi-Fi access. Electronic Resources like N-LIST Inflibnet, DELNET are made available in the digital library to access e journals

Centralized Information

Electronic information infrastructure has been made available by e-governance to streamline documentation, cut down on duplication, and boost service quality and speed

Evidence of Success

This automation technique minimizes the use of paper in the campus which supports green practice. Instant information retrieval for decision-making is another benefit. Good participation of faculty and students in all webinars conducted by the college. There is a vast improvement in the delivery of services to staff and students. The academic related circulars are timely sent through E-mail and whatsApp applications. The use of ICT in Teaching and Learning, the efficiency, transparency and accuracy are improved. Students can access and retrieve data easily from virtual lectures. It helped in instant statistical report generation. Long term impact on organization goals improved. Empowerment of faculty, students and encouragement of their participation in governance increased. Remote access to library resources such as e-books and e-Journals save the time. Searching the required content is made easier

Problems encountered and Resources required

Due to rural location, the institution needs advanced servers and security measures to handle the volume of information and complex cyber threats. A significant expenditure is required to meet all of these needs. For remote access, the users need internet facility in their places. Many students are not provided with the high bandwidth or the vigorous internet connection that online courses require, and thus fail to catch up e-goverance

Greet with Green: An Environmental Promotion Campaign

Objectives

  • Enable rapid expansion of the green zone locality
  • Protect the environment on reducing carbon emission through sapling plantation
  • Transform the campus into pollution free and environmentally friendly atmosphere
  • Soothe the pressurized minds
  • Create livelihood to the endangered birds
  • Insist students and neighbourhood community towards the necessity of preservation of ecosystem
The Context

The institution is situated near Sathyamangalam Tiger Reserve. This mountain range forest is one of hotspot for plants and animals biodiversity. Green is a symbol of fertility and institution is taking utmost efforts to plant new saplings inside the campus and nearby villages. The faculty and students are committed to maintain the health and biodiversity of the campus that eventually protect our environment. Clean and green environment, provides an eco-friendly atmosphere that promotes effective learning and positive effect on human health

Policies

The institution framed policies and implemented it related to Green campus and Environmental, Energy conservation, Waste management and Water resource management

Plastic Free Campus

Use of paper cups and plates is encouraged. Plastic bags and plastic tea cups are banned inside the campus

E-waste Management

E-waste is collected and stored for secured disposal

Water Resource Management

The highlight of the practice is monitoring water levels in tanks and bunds at regular intervals. Borewell recharge pits and tanks are constructed for harvesting the rainwater. Waste water is used for gardening

Energy Conservation

The college is using renewable natural energy like solar energy. LED bulbs and sensor lights are installed

Clean and Green Initiatives

Our sincere effort for reducing carbon emission includes sapling plantation, segregation of biodegradable and non-biodegradable wastes, Students and staff members residing nearby are encouraged to use bicycle and public transport for commute to college

Naming Plants

The plants and trees in the campus are labeled and QR coding is done which provides botanical name, common name with additional information

Miyawaki Forest

This plantation designed on the Japanese Miyawaki methodology in which varied plants are rooted at close quarters to improve the green line in the campus. The outcome of this method is achieved in November 2019 through planting approximately 1420 trees of various native trees like Bamboo, Kumil, Mango, Neem, Sacred Fig, coconut etc. in an area of 2800 Sq.M by the student volunteers. This significant deed is proved their curiosity on green revolution

Garden variety

Garden formation such as Natchatra, Navagraha, Herbal benefits the health and wellness. Butterfly and Hibiscus created to enrich the campus with colorful flowers

celebrations

Various important days environment day, water day, forest day, pollution control day are celebrated. Students participate in the competitions organized related to environment

Activities by Clubs

NSS units of our college have succeeded in fostering sapling plantation culture and maintaining clean environment through extension activities. Eco club in association with Forest Department, Sathy to sensitize the students has actively involved in various eco-friendly programmes including rally to conserve wild life, ban plastic, forest cleaning activity and events. Eco club has also signed MoU with NGOs like Pasumai Thaayagam, Ithal Trust, and SUDAR. College supports Uyirin Swasam Trust in taking care of saplings and distributing it to the society in achieving their dream of planting 20000000 by 2024

Evidence of Success

The Green campus initiatives are not only adds the beauty of the campus but also it saves the environment. This practice has resulted in the improved quality of air and subsequently quality of life. It may provide cheerfulness and zealous to the staff and students to achieve their goal in the pleasant atmosphere. This green cover also helped in the examination results of students as increase in overall pass percentage. The college has robust rain water harvesting mechanism that has resulted in the rise in ground water levels of bore wells on the campus. Now the campus could attract varieties of birds, bees, flies, wasps, butterflies, and moths. The institution has received award for maintaining green campus from Nature Science Foundation. The fallen leaves are accumulated to decompose in a pit to manure the garden. Coconut and areca trees in the campus generate revenue which helps in maintaining the garden

Problems Encountered and Resources required

Encouraging and maintaining the involvement of volunteers is an issue which requires careful guidance. Continuous efforts have been taken to create awareness among faculty and students towards promoting environmental consciousness. Programmes with external agencies should be regularly organized to let people of the surrounding learn the necessity of environment cleanliness and up gradation
